One of our products, an AI scribe assistant, has been designed to reduce the arduous process of clinical documentation. It automatically generates clinical reports from medical encounters, cutting down the time and effort required by medical professionals.
We would like to share the details of our data capture, storage, and processing to provide reassurance to practices who currently use or are interested in using Quadrant AI. We’ve designed this product to be fully compliant and secure without sacrificing the quality or accuracy of the medical notes it generates.
Overview of Quadrant AI Scribe workflow
When a provider initiates an encounter, Quadrant AI scribe captures the audio. A HIPAA-compliant speech-to-text interface transcribes the conversation in real-time, and the capture stops when the encounter ends.
The transcription is then processed using our HIPAA-compliant algorithms and a HIPAA-compliant Large Public Language Model (LLM). The end result is a structured SOAP note (and others…) that can easily be exported to the patient's electronic medical record.
Data processing
Data processing is executed on our servers via the HIPAA and GDPR compliant Amazon Web Services (AWS) and HIPAA-compliant LLM servers.
Privacy is respected
Quadrant AI Scribe is designed to handle sensitive patient-doctor conversations that often include personally identifiable information. To guarantee privacy, we have employed a deidentification algorithm that strips out this sensitive information from the transcripts.
Despite not storing data, our algorithm temporarily keeps a record of personal information linked with masked versions on our servers’ RAM. This record is destroyed after each query, and there is no way to access it. This guarantees a useful note for doctors while maintaining confidentiality.
Since no data is stored on our servers, it remains inaccessible to anyone, ensuring absolute privacy. Even during transit and processing, safeguards have been integrated to enhance security. We have enforced strict measures, roles and permissions, and cloud-level encryption protocols through Amazon Web Services. Our systems also detect any irregular activity and raise alerts.

Following this, we are audited yearly for risk and vendor management and are certified with SOC 2 Type 2 compliance and ISO 27001.
